This Privacy Policy explains how Bayside TCI Car Rental (“Bayside,” “we,” “us,” or “our”) collects, uses, shares, and protects your personal information when you visit baysidetcicarrental.com (the “Site”), request or make a vehicle reservation, sign a rental agreement, or otherwise interact with us. Bayside TCI Car Rental operates from Providenciales International Airport (PLS) in the Turks & Caicos Islands, and this policy is governed by the laws of the Turks & Caicos Islands.

By using the Site or booking a vehicle with us, you agree to the practices described in this policy. If you do not agree, please do not use the Site.

1. Information We Collect

a. Information you provide when booking

When you search for a vehicle, request a reservation, or check out, we collect the details you enter, which may include your first and last name, email address, phone number, pickup and drop-off dates and locations, chosen vehicle class and optional add-ons, any promotional code you apply, and your preference about receiving marketing emails.

b. Renter and driver details for your rental agreement

To prepare and complete your rental agreement — before arrival or in person at pickup — we may collect additional information required to rent a vehicle, including your driver’s license or passport number, a photograph of your driver’s license, your local address in the Turks & Caicos Islands, a local contact number and email, your flight number, the name and license details of any additional driver, your insurance selection, and your electronic signature. We may also record the vehicle’s condition (including a damage/inspection diagram) as part of the agreement.

c. Payment information

Card payments and deposit holds are processed by our payment provider. Your full card details are entered directly into the payment processor’s secure payment form and are not stored on our servers. We retain only limited payment records such as transaction identifiers, the card brand and last four digits, authorization/charge status, and amounts, so we can manage your booking, deposit, and any balance or refund.

d. Vehicle return media

At the end of a rental, we may ask you to upload a short “walk-around” video of the vehicle so we can confirm its condition on return. This video is stored securely and used only to document the vehicle’s condition.

e. Contact form and inquiries

If you contact us through the Site, we collect your name, email address, phone number (if provided), and the contents of your message so we can respond.

f. Marketing sign-ups

If you opt in to offers — including any pre-launch “notify me” sign-up — we collect your email address to send you island offers, travel guides, and promotions. You can unsubscribe at any time.

g. Information collected automatically

When you visit the Site, we and our analytics and advertising partners may automatically collect technical and usage information such as your IP address, device and browser type, referring pages, the pages and vehicles you view, searches you run, and actions you take (for example, starting a reservation search, beginning checkout, or submitting a booking). This information is collected through cookies and similar technologies as described in Section 3.

2. How We Use Your Information

  • To provide and manage your reservation, rental agreement, deposit, payment, and vehicle handover and return;
  • To verify your identity and eligibility to rent a vehicle and to prepare required rental documentation;
  • To communicate with you about your booking, including confirmations, reminders, pickup instructions, and post-rental follow-up;
  • To process payments, deposits, balances, and refunds through our payment provider;
  • To respond to your inquiries and provide customer support;
  • To detect, prevent, and investigate fraud, damage claims, security incidents, and misuse of our vehicles or Site;
  • To comply with tax, accounting, insurance, and other legal obligations;
  • To send marketing communications where you have opted in, and to improve our services, Site, and marketing;
  • To measure and improve the performance of our advertising and website using analytics.

3. Cookies, Analytics, and Advertising

We use cookies and similar technologies to operate the Site, remember your preferences, measure traffic, and support our advertising. We use Google Analytics 4 to understand how visitors use the Site and Google Ads to measure the effectiveness of our advertising and to record conversions (such as a completed booking). These tools may set cookies and collect your IP address, device information, and information about your activity on the Site.

We use Google Consent Mode and, where applicable, display a cookie consent banner. Analytics and advertising storage remain disabled until you accept, and you can decline at any time. You can also control cookies through your browser settings, opt out of Google Analytics using the Google Analytics Opt-out Browser Add-on, and manage ad personalization in your Google Ad Settings. Disabling cookies may affect some Site features.

4. How We Share Your Information

We do not sell your personal information. We share information only as needed to operate our business, with the following categories of recipients:

  • Payment processing – To process card payments, deposit holds, and refunds.
  • Analytics & advertising – Google (Google Analytics and Google Ads), to measure Site usage and advertising performance.
  • Website functionality – Google Fonts and Google Maps, and OpenStreetMap map tiles, which may receive your IP address when Site pages or maps load.
  • Email delivery – our email/SMTP provider, to send transactional and marketing emails.
  • Hosting & infrastructure – our web hosting provider, which stores Site data on our behalf.
  • Legal, safety, and claims – law enforcement, regulators, insurers, or advisors where necessary to comply with the law, enforce our agreements, or pursue or defend a damage, insurance, or liability claim.
  • Business transfers – a successor entity in connection with a merger, acquisition, or sale of assets.

These providers are permitted to use your information only to perform services for us.

5. International Data Transfers

We operate in the Turks & Caicos Islands and serve customers from around the world. Some of our service providers (including those listed above) may store or process your information in the United States or other countries whose data-protection laws may differ from those in your home country. Where required, we rely on appropriate safeguards for such transfers.

6. Data Retention

We keep booking records, rental agreements, and related transaction information for approximately seven (7) years to meet tax, accounting, insurance, and liability requirements. More sensitive documents — including driver’s-license photographs and vehicle return videos, are deleted approximately 90 days after the rental ends, unless they are needed longer to investigate or resolve a damage, insurance, or legal claim. Marketing sign-up information is kept until you unsubscribe or we no longer need it.

7. How We Protect Your Information

We use reasonable technical and organizational measures to protect your information. Data is transmitted over encrypted (HTTPS) connections, card details are handled by our payment processor rather than stored by us, and sensitive documents such as driver’s-license photos, signed agreements, and return videos are kept in access-restricted storage that is not publicly accessible. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your Privacy Rights

Subject to applicable law, you may request to access, correct, update, or delete your personal information, obtain a copy of it, or object to or restrict certain processing. To make a request, contact us using the details in Section 12. We will respond within the time required by applicable law and may need to verify your identity first.

European Union & United Kingdom (GDPR)

If you are located in the EU or UK, we process your personal data on the following legal bases: to perform our contract with you (managing your reservation, agreement, and payment); to comply with a legal obligation (tax, identity verification, insurance, and record-keeping); for our legitimate interests (fraud prevention, security, customer relationship management, and improving our services); and with your consent (marketing emails and non-essential cookies/advertising, which you may withdraw at any time).

You have the right to access, rectify, erase, restrict, or object to processing, the right to data portability, and the right to withdraw consent. You also have the right to lodge a complaint with your local data-protection supervisory authority.

California (CCPA/CPRA)

If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it, to request deletion or correction of your personal information, and to opt out of the “sale” or “sharing” of personal information. We do not sell your personal information and do not share it for cross-context behavioral advertising in exchange for money. We will not discriminate against you for exercising these rights. You may exercise your rights using the contact details in Section 12, and you may use an authorized agent where permitted by law.

Canada (PIPEDA)

If you are in Canada, we collect, use, and disclose your personal information with your consent (express or implied) for the purposes described in this policy. You may request access to your personal information and ask us to correct it, and you may withdraw consent to non-essential uses such as marketing, subject to legal and contractual limits.

9. Marketing Communications

If you opt in, we may send you offers, travel guides, and promotions by email. You can opt out at any time by using the unsubscribe link in our emails or by contacting us. We will still send you non-promotional messages necessary to manage your reservation.

10. Children’s Privacy

The Site and our services are intended for adults who meet the minimum age and licensing requirements to rent a vehicle. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Third-Party Links

The Site may link to third-party websites or services (such as map or directions providers). We are not responsible for the privacy practices of those third parties, and we encourage you to review their privacy policies.
